a Way to export my GroupWise Archived e-mail?

Q. How do I determine the
size of my GroupWise Archive folder?
A. Procedures for checking your archive folder size.
First determine your GroupWise "FID" by choosing Help and
About from your
GroupWise client. (FID will be in parenthesis to the right
of the user name)
From a Custom workstation use a Dos Prompt box to check
the folder size.
1 From your Windows task bar click Start, then Run. Type "CMD" and
click OK to
open a DOS prompt window.
2 In the DOS window type “DIR M:\ARCHIVE\OFXXXARC”
(replace XXX with the FID you looked up in step 1.)
Press Enter to display the contents and size of
your Archive folder.
In this example the Archive folder size is
14,145,632 or 14.1 Meg in size.
Note:
Disregard the “Bytes free”. This refers to the volume and not your Archive
folder.
Never
manually delete any files from the Archive folder as this may cause
permanent loss of information in your Archive database.
Q.
How do I quickly reduce the size of my GroupWise mailbox or GroupWise Archive
A. Use the GroupWise Client's "Find" feature.
1 Login to your GroupWise Account.
2 If you want to delete mail from your Archive, access your archive
by clicking File,
then Open Archive.
3 Click Tools, then select Find.
4 If you want to search for and delete something in your regular mailbox
(and not in
the Archive), un-check All Libraries.
5 Click “OK” to begin the search.
6 You will see this "Find Results" window.
7 To sort by message size, you will need to add a column.
8 Right-click on the Name column heading or on any one of the other
column
headings and select the option "More Columns".
9 From the Available Columns field, select Size, then click Add.
10 The Size column should now be listed in the Selected Columns
field.
11 Select Size in the Selected Columns field and click Up to
move the Size
column to the top. Click OK.
12 In the GroupWise Find Results window, right-click on the Size column
heading and select
Descending or Ascending.
13 Now you can easily find and delete any large e-mail messages you
no longer need.
You can also right click on a selected message
and choose Save As to save the large
e-mail messages and attachments to a location
outside GroupWise for safe keeping. If you do
this, remember to delete and empty the item
from your Mailbox or Archive to free up space.
14 You can also sort by other columns such as Subject, Date, and Name
to sort and find the
e-mail messages you wish to delete.
Q.
Is there a Way to export my GroupWise Archived e-mail?
A. Procedures for exporting your Archived e-mail and attachments
out of
GroupWise and making the e-mails and attachments
portable so they can be
viewed outside of the GroupWise client.
1 Login to GroupWise and open your Archive by choosing File, then Open
Archive.
2 Highlight one or more email items
3 Chose File then Save As. You will see this window.
4 In the window that opens, select the location and folder to where
you want to
save your e-mails and attachments. Leave the option to
report name conflicts
checked.
TIP: Create folders and sub folders to organize
your e-mails and attachments
Emulating the folder structure you have in your Archive.
5 Highlight all the items that show up in the "Items to save"
window.
This will allow you to save all items automatically.
6 Click Save. E-mails will be saved as a word document; any attachments
will be
saved in their existing application format.
If any e-mials or attachments have the same name, you
will be prompted to select
if you want to over write.
7 E-mails have now been exported out of GroupWise and can be viewed
in windows
Explorer, copied to another hard drive floppy or CD.
NOTE: Steps above will save Archived e-mail
to a location outside of the GroupWise
Archive mailbox but will not delete them from the Archive. To free up space
in your GroupWise Archive mailbox, you will now need to DELETE and
EMPTY those items from your Archive.
Q. I
keep getting 8204 "The Disk is Full" errors when trying to Archive
A. You have reached the maximum Archive mailbox size limit.
This indicates you have reached the maximum Archive Mailbox size allowed
by Parkland's E-mail Policies. You will need to open your Archive and delete
and empty enough email items to lower the size of your Archive below the
current limit of 100 MBs..
